Privacy Policy for CarFleet Mate

This privacy policy explains how personal data is processed when using the CarFleet Mate mobile iOS app.

Last updated: October 5, 2026

1. Controller

AppMate UG (haftungsbeschränkt) Ochsenwerder Elbdeich 233 21037 Hamburg Germany

Email: support@app-mate.com Website: https://app-mate.com

2. Core principle of the app

CarFleet Mate is designed as a local vehicle and fleet manager. The app does not require a user account and does not use a backend or cloud service operated by AppMate. As a general principle, AppMate has no access to the fleet data stored by the user in the app.

The app contains no advertising, analytics or tracking features, in-app purchases, or subscriptions.

3. Data processed locally

Depending on how the app is used, the following data in particular may be stored locally on the device:

  • Vehicle and group data, such as manufacturer, model, license plate, color, optional vehicle identification number, year of manufacture, and notes
  • Mileage, tire status, maintenance, and vehicle inspection information
  • Workshop appointments and local reminders
  • Damage records, photos, and vehicle documents
  • Optional address and location details for a vehicle
  • Notification history and app settings
  • App passcode in the form of a one-way hash and Face ID settings

Structured data is stored in a local database. Photos and documents are stored in the app's private area on the device. App lock information is stored in secure iOS storage.

4. Permissions

CarFleet Mate requests permissions only for features that the user chooses to use. Permissions are optional as a general principle.

Notifications

Notification permission is used for locally scheduled reminders for maintenance, vehicle inspections, and workshop appointments. No push notification tokens are transmitted to AppMate.

Camera and photo library

The camera and photo library can be used to take or select vehicle, folder, damage, and document images. Selected content is stored locally in the app's private area.

Face ID

Face ID can optionally be used to unlock the app. The biometric check is performed by iOS. CarFleet Mate and AppMate do not have access to raw biometric data.

Location

The “While Using the App” location permission can optionally be used to fill a vehicle's address fields from the current location. To convert the position into an address, the app uses the operating system's geocoding service. In doing so, iOS may transmit location coordinates to Apple services. Apple's privacy policy also applies.

CarFleet Mate stores the returned address result, but not raw latitude or longitude coordinates. AppMate does not receive this location data.

5. Export, backup, import, and sharing

Users can explicitly export data as an Excel file or a complete CarFleet Mate backup and transfer it to a destination of their choice using the iOS share sheet. Users can likewise import selected Excel or backup files and share individual documents.

These actions occur only at the user's initiative. Export and backup files may contain personal or sensitive vehicle data, photos, and documents. Users should store these files securely and share them only with trusted recipients. App passcodes and biometric information are not included in backup files.

The provider selected by the user is responsible for any further processing at the chosen destination, such as a cloud storage service, messaging service, or email provider.

6. No automatic disclosure to AppMate

CarFleet Mate does not automatically transmit fleet data, photos, documents, or usage statistics to AppMate. No advertising, analytics, or tracking SDKs are used. Personal data is not sold.

Processing outside the app's private area occurs only through the export, import, sharing, or location features described above and initiated by the user.

7. Storage period and deletion

Data remains stored locally until the user deletes individual content, uses the “Reset All Data” function in Settings, or uninstalls the app.

The “Reset All Data” function removes local fleet data, associated photos and documents, and scheduled local reminders. Because no user account or AppMate backend is used, there is no server-side user account that also needs to be deleted.

Files previously exported by the user are outside the app's private area and must be deleted separately at their respective storage location.

8. Legal bases

Where the local processing of personal data is attributable to the controller, it takes place in particular to provide the app functions requested by the user in accordance with Article 6(1)(b) GDPR. Processing for the security and stability of the app may be based on Article 6(1)(f) GDPR. Operating system permissions can be changed or withdrawn at any time in iOS Settings.

9. Rights of data subjects

Subject to the statutory requirements, data subjects have rights including access, rectification, erasure, restriction of processing, data portability, and objection. They also have the right to lodge a complaint with a data protection supervisory authority.

Because AppMate does not receive the app data stored locally, AppMate cannot directly access, rectify, or erase this data. The relevant functions must be used on the respective device.

10. Data security

CarFleet Mate uses private iOS app storage and secure iOS keychain storage for security-related settings. Users are responsible for keeping exported backup and Excel files secure in an appropriate location.

11. Changes to this privacy policy

This privacy policy will be updated if features, data processing, or legal requirements change. The current version will remain available on this page.
